Willow Kids Refund Policy

At Willow Kids, we are committed to providing a high-quality experience for every family. We also believe in fairness and transparency when plans change.
1. Prorated Refunds
Refunds are issued on a prorated basis based on unused sessions.
- Completed sessions are non-refundable
- Only unused, prepaid sessions are eligible for refund
- Refund amounts are calculated based on the remaining balance of sessions not yet delivered
2. Coach Responsibility for Refunds
All tutoring services are delivered by independent academic coaches.
- Coaches are financially responsible for funding any approved refunds
- Willow Kids facilitates the refund process but does not assume financial liability for completed or scheduled services
3. Cancellation & Eligibility
To qualify for a refund:
- Sessions must be canceled in accordance with the coach’s cancellation policy (e.g., 24-hour notice unless otherwise specified)
- Refund requests must be submitted within 7 days of the last session or cancellation
Failure to meet cancellation requirements may result in the session being considered used and non-refundable.
4. Refund Process
To request a refund:
- Contact support at support@willow.kids
- Include: Student name
- Include: Coach name
- Include: Package purchased
- Include: Reason for refund request
Once approved:
- Refunds are processed within 5–10 business days
- Funds are returned to the original payment method
5. Non-Refundable Items
The following are not eligible for refunds:
- Completed sessions
- Missed sessions without proper notice
- Promotional or discounted packages (unless otherwise stated)
6. Disputes & Resolution
If there is a concern with a coach or session:
- Willow Kids will work with both parties to reach a fair resolution
- In some cases, a credit or coach reassignment may be offered instead of a refund
7. Policy Updates
Willow Kids reserves the right to update this policy at any time. Updates will be communicated clearly to users.
